Job: Medical Assistant (Lagos) at International Organization for Migration – IOM

The context

  • Under the general supervision of the Migrant Health Officer (Abuja) or Migrant Health Officer (Lagos) and the direct supervision of the Senior Medical Assistant, the successful candidate will be responsible for performing the following duties and responsibilities in relation to the Migrant Health Assessment Center (MHAC) in Abuja, Nigeria.
  • The Medical Assistant provides migrants with relevant information on health assessment programs, claims processing and other IOM services.
  • He/she can be assigned to one of two potential sub-units within the Migrant Health Assessment Center (MHAC): the Reception and Data Processing Unit or the calls.
  • The incumbent should be able to be flexible when assigned to different tasks. Below is a description of the possible tasks, which are further detailed in the Task Lists and Standard Operating Procedures (SOPS).

Main functions / Responsibilities

  • The Medical Assistant provides migrants with relevant information on health assessment programs, claims processing and other IOM services.
  • He/she can be assigned to one of two potential sub-units within the Migrant Health Assessment Center (MHAC): the Reception and Data Processing Unit or the calls. The incumbent should be able to be flexible when assigned to different tasks. Below is a description of the possible tasks, which are further detailed in the Task Lists and Standard Operating Procedures (SOPS).

General call center duties:

  • Provide information to migrants regarding health assessments by phone and email.
  • Register migrants in the IOM database, schedule and confirm medical appointments, and receive and communicate messages to medical staff and beneficiaries.
  • Prepare master lists of migrants to undergo health assessment processing and submit them to respective service providers/affected persons as appropriate.
  • Maintain daily statistics related to health checks and update records; and,
  • Contribute to the management of the customer satisfaction evaluation.

General data reception and entry tasks:

  • Perform all necessary Migrant Health Assessment Center (MHAC) data processing activities, such as:
    • Receive and explain the registration process to candidates.
    • Verification of the applicant’s identity.
    • Entry of candidates’ biographical data into the appropriate platform.
    • Take photos using an approved gadget (camera or webcam) and upload the image to the appropriate platform; and,
    • Printing of medical forms, consent forms and other necessary documents.
  • Receive all completed medical examination forms, x-rays and other documents from country offices or panel physicians while updating the receipt of these in the database and forwarding them for quality control before authorization, if applicable.
  • Prepare, sort and pack medical records and other documents during mobile migration health assessment missions when such mobile units are available.
  • Transmit completed medical forms, DNA kits and other medical documents either electronically or by courier to the various partners. Ensure that the correct contacts and physical address are used whenever documents are forwarded by couriers and be sure to inform the recipient of the package tracking number electronically.
  • File incoming/outgoing letters, reports, memoranda, email faxes and IOM documents and forms related to IOM medical issues.
  • Maintain and ensure the confidentiality and integrity of all relevant documents in accordance with standards of conduct and data protection rules. Ensure compliance with SOPs or codes of conduct by IOM staff members or partners
  • Check, print and photocopy bank deposit slips (or other proof of payment). Submit these photocopies regularly to the administrative/financial assistant; and,
  • Perform any other duties that may be assigned.

Terms
Education:

  • University degree in Computer Science, Information Technology/Management, Social Sciences, Statistics or related field with at least four years of relevant work experience.

Live:

  • Certification/experience in IT/IT, data entry, elaboration and analysis or in a call center at a busy institution, preferably medical, is an advantage.
  • Typing speed of at least 60 words per minute.
  • Good knowledge of Windows and MS Office is mandatory, knowledge of web page design or data analysis would be an asset.
  • Client orientation and ability to adapt/react to different personality types.
  • Excellent communication (written, verbal and listening) and presentation skills
  • Ability to multi-task, set priorities and manage time effectively
  • Knowledge of medical terminology, as well as previous secretarial and archival experience, an added advantage; and,
  • Previous work experience with NGOs, international organizations or a very active research institution is an added advantage.

Languages ​​:

  • Fluency in English (oral and written) required, working knowledge of local language.

  • Only candidates residing in the duty station country and within commuting distance of the duty station will be considered.
